Privacy policy

GrantOps handles information about your organisation so it can match you to grants, help you draft applications and keep your deadlines. This is what we collect and what we do with it. We follow the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect

  • ·Account details. Your name, work email and role.
  • ·Organisation profile. Type, location, industry, size and what you’re seeking funding for. This is what matching runs on.
  • ·What you upload. Documents, drafts, comments, tasks and deadlines you add to an application.
  • ·Usage and technical data. Which features you use, plus IP address and device type, for security and to improve results.

We don’t ask for government identifiers or sensitive information, and we never hold your card details. Our payment provider does.

How we use it

To match you to grants, draft applications with you, run your boards and reminders, provide support, bill you, and improve the product. Nothing else.

We only send marketing email if you’ve agreed to it. Every commercial message identifies us and carries a working unsubscribe, which we action within five working days. Deadline reminders and account notices are separate, and you control those in your settings.

AI drafting

AI drafts application text from your own material. Your content is only ever used to produce your answers, never another customer’s, and we require our AI providers not to train general-purpose models on it.

Every draft cites what it drew on, and you approve it. GrantOps does not submit applications for you and does not decide who gets funded.

Who we share it with

We don’t sell your information. We share it only with the service providers who run the product for us (hosting, email, payments, analytics and AI processing), with people you invite into your workspace, and where the law requires it.

We hold customer content in Australian regions wherever our providers offer them. Where data is processed overseas, we take reasonable steps to ensure it’s handled consistently with the Australian Privacy Principles.

Security and how long we keep it

We encrypt data in transit and at rest, use signed links for uploaded documents, and apply role-based access with multi-factor authentication on admin accounts. No system is perfect. If a serious breach occurs we’ll notify you and the OAIC as the law requires.

We keep your information while your account is active and for a limited period afterwards so you can return or export it. Financial records are kept for the five years Australian tax law requires. You can delete documents and applications yourself at any time.

Your rights

You can see and correct most of your information in your account settings. For anything else, such as access, correction or deletion, email us and we’ll respond within a reasonable period.

If you think we’ve mishandled your information, tell us first. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Cookies

We use cookies to keep you signed in, remember your preferences and understand which features get used. Essential cookies are required for the service to work; analytics cookies aren’t, and you can decline them without losing functionality. Most browsers let you block or delete cookies in settings.
